For Landlords:

What do I need to do next to get started?


The first thing we do is to sit down together, answer your questions, and sign a property management contract. If you own the property, you need to provide a copy of a recent tax bill (of the properties you want us to manage) and government issued photo ID, such as a valid driver's license or passport. If you recently agreed to purchase the property and don't have possession yet, you will need to provide a copy of the unconditional purchase and sale agreement.

Who are the rent cheques made out to?


The rent cheques are made out to Sound Property Management.

How and when do the landlords get paid?

We can pay our landlords by email payment or by cheque. We pay our landlords on a monthly basis.

Are you insured?

Yes, we are fully insured including personal liability.

I have a contractor that I regularly use. Is it possible for you to use my contractor for servicing and maintenance of my property?

As our client, you have the ultimate choice in picking your own contractor. After all, you will be the one who will be paying for the work being done! If you have a preferred contractor, you provide their name and contact information at the time of becoming our client. We will contact them first to have the required maintenance done whenever required. In the event that your contractor is not able to service the request within a reasonable time frame, you will be notified and another contractor will be assigned for the service request. We are in the business of keeping happy tenants and happy landlords.

When do I hear from you?

We strive to have clear communication with our landlords. On a monthly basis, you will be supplied with a statement and rent payments. All tenant notices to move out and commencement of any proceedings will be mentioned on your statement. Besides the monthly statement, depending on the severity of the matter, we might contact you to notify you of anything pertaining to your property.

How long have you been in property management business?

Sound Property Management was founded in late 2009 and is currently building its clientele to meet the needs of investors who own single family homes, duplexes and triplexes who decide to outsource the rental and/or day-to-day management of the property.

I would like to be a landlord. What do I need to do next?

The first thing you need to do is get in touch with a Real Estate Sales Representative or Broker and they will help you through this process. Call us and we will put you in contact with Realtors who have helped others purchase investment properties and who also own residential investment properties themselves. When you are in the closing process on a property, we work with you and your Realtor to ensure a smooth transition with as little vacancy as possible.

Who takes the pictures of the property?

Our turnover fee, which is the cost of putting in a new tenant into your unit, includes in-house photography. If you would like a professional real estate photographer, you may get one, or we can even recommend some of the best, however, this is done at your own cost.

Can you do a criminal check for potential tenants?

You may request a prospective tenant to provide a criminal record check, or if you want to do the check yourself, you must have written permission from the prospective tenant. How and where do you advertise my property for rent?

After significant testing and tracking, we've found that currently, online advertising brings in most prospective tenants. We use the ones most frequented in Ottawa, including Craigslist, Kijiji and Used Ottawa.

How long does it usually take to find a tenant?

Renting properties, similar to selling a house, can go quickly or slowly depending on the price point, condition and location of the property. For example, we have rented some properties in a matter of days and some in the range of 45 days. We would suggest that you give yourself two months (60 days) before a vacancy to allow sufficient time to prepare, market and rent out your property.



For Tenants:

Application Fee

The cost to submit a rental application is $150. Once you are approved, this fee will go towards your first month rent. If your application is not approved, this fee will be returned to you in full. If you are approved, but do not decide to rent out the unit, the fee is non-refundable.

Lost Keys

If you’ve lost your keys and have locked yourself out between the hours 9:00 am and 5:00 pm, we will replace them at a cost of $40; after 5:00 pm during the week or at any time on the weekend the replacement cost is $65.
